To get access to all reports you must go from the top bar and choose Reports -> My Reports.
When the page loads, you can find all the available report options to choose from.
Cashier :
You use this report when you have several users working in your box office and you want to see what sales each of them has made.
To run it, select Cashier, set the date range you want to check, and under Select user pick the user’s e-mail.
Once you’ve selected the user you want, you can optionally enter a Custom Export Name (the report’s name). Then click Export to PDF and wait for the process to finish.
Orders :
You use this report when you want to see, at a glance, information about the specific event you’ve selected.
Here you can filter by event, venue, event date and payment method. You can also choose which orders to display: all orders excluding cancelled ones, only completed ones, those in progress, or all orders including cancelled ones. You can then either view them on screen or download them to Excel.
Two things to keep in mind:
Don’t select many events at once, and don’t set a very wide range for the order creation date. If there are many dates and the venue is large, the system may freeze and show you an error.
Info: The order creation date is when the customer made the booking, and it covers all dates of your event. If you want to narrow it down, simply select a specific event date from the list.
The list shows you the order number. It also shows the order date, the order status, the customer’s first and last name, and their contact details such as e-mail and mobile number. You can also see the event the customer booked tickets for.
The order type can be Sale, Cancellation or R Reissue/Change.
You can see how many tickets the order contains and their price, the amount paid and the value of the tickets.
Tickets :
This report gives you more detailed information about each individual ticket.
As in the Orders report, you can filter by event, venue, date and order status. There are also two extra filters, Invoiced and Check-in, and you’ll see below what each one is useful for.
Once you’ve run the search and download the results, you’ll notice that each order shows up as many times as the number of tickets it contains. For each ticket you can see the ticket number, the barcode number, the ticket status, the exact booking date and time, and the sales channel:
teller.XXX: the booking was made through the back office.
Viva Sites: the booking was made through our website, More.com.
Viva Resellers Network: the booking came from one of our partners, e.g. Public.
The report also shows you the show, the date the ticket is booked for and the venue where the event takes place.
You can also see other useful information:
the ticket’s zone (if the venue has zones)
the ticket type (discounted or full price)
the gate number, if the venue is a stadium with gates
the tier, row and seat, if the venue and the ticket are numbered
This report contains a lot of information, so you’ll need to scroll to the right to see the rest of the fields.
Two of the most popular fields are Check-in and Check-in Date. They show you whether a ticket has been checked in and exactly when. The Document Type and Document Number fields are also important. They appear once the ticket has been invoiced, which means the customer has downloaded the PDF of their ticket (if applicable in your country).
After that you’ll find the rest of the ticket details, which also appear in the order, such as full name, e-mail, phone number, etc.
Payments :
This report shows you everything related to the payment of each order, based on the filters you’ve selected. It includes:
the order number
the payment date
the customer’s details
the sales channel:
teller.XXX: the booking was made through the back office.
Viva Sites: the booking was made through our website, More.com.
Viva Resellers Network: the booking came from one of our partners, e.g. Public.
who collected the money and who the user is
the payment method and the amount
Shipments :
This report shows you the orders where the customer has chosen to receive their tickets, or a product, either by courier or by picking them up at the box office.
Depending on whether you choose Courier or Box Office, the report will show you different fields of information.
Products :
This report shows you everything related to the products you offer together with your tickets.
The list it displays includes all the details for your products, such as the order number, the product name, the size (if there is one), the product code, the booking date, and the event and event date it was booked through.
You can also see the order status, the order value and the customer’s details.
Totals :
This report includes all tickets and payments of orders that have at least one payment within the time period you’ve selected. Orders that meet this criterion appear in the report in full, meaning with all their tickets and all their payments, regardless of the dates these relate to. This ensures that the total value of the tickets matches the total value of the payments.
Producer Files :
This is the most comprehensive report on the platform. It contains all the other reports, and you can filter it by whatever you want, depending on your needs.
This report is updated per event. Because it’s quite a heavy report, it takes time to update. For better system performance, the producer files of all organizers are updated in order of priority.
So, if you have many events and want all of them updated, it’s best to update each one only after the previous one has finished updating.
Once the update is complete, the corresponding report file appears for you to download, along with the date of the last update.
Please note that during the first 10 days of each month, producer files take longer to update.
Sales Report :
This report shows you the sales for all your users and all your running events, for the period you select.
Documents Report :
This report shows you everything related to your documents, by event and by event date.
Customers :
This report shows you the contact details of the customers for the event and event date you’ve selected.
It’s useful when you want to contact the customers on the list, for example about a cancellation or postponement of your event, or another important update.
Newsletter :
This report shows you the details of customers for the selected event and date who chose to sign up for updates or newsletters from you.
These are the only customers you can send marketing communications to.
